Review, Process and Scan all incoming mail/documents for TREC and TALCB. Assisting with maintaining Agency’s records.
High School Diploma or Equivalent
2 years of clerical experiences with processing and routing incoming mail; document imaging and record keeping experience.
- Knowledge of general business procedures and use of standard office equipment
- Ability to use a personal computer (Microsoft Office software application, Word, Excel, and Outlook)
- Ability to successfully function as a team member and work effectively in a team base environment with team members.
- Ability to retrieve information and input information using agency data bases
- Demonstrates effective communication with internal customers as well as external customers in person, phone, correspondence and or emails.
- Ability to adapt successfully to change
- Experience using Licensing Management System
- Experience with Mail Procedures
- Experience using Electronic Record keeping data base
- Experience working with government/ state records keeping.
- Experience running reports and tracking information.
- Experience preforming quality control of documents
- Open and route incoming mail/documents within proper timeline and with a high degree of accuracy for other departments within agency.
- Processing and batching check/ money order with documents with accuracy.
- Track all incoming mail /documents daily (money /non money mail).
- Run reports upon request from data base.
- Retrieve information using Versa Data Base.
- Able to retain information regarding fees and other changes to documents.
- Prepare departmental documents for accuracy (Receipts Logs, Warrant Log, Manual Deposit Spread Sheet, and scan tally sheets etc….
- Answer questions from staff concerning fees, documents, and mail procedures.
- Work on assigned imaging projects/agency’s records.
- Performs quality assurance of documents
- Scan incoming documents for conversion to electronic imaging. Routing documents to Network drive as well as scanning and uploading documents into the Neubus.
- Maintain equipment in work area.
- Performs other duties as assigned
Environmental & Physical Conditions: Normal office work environment, mostly sedentary in nature. May involve walking; standing; remaining stationary for long periods of time; pulling and pushing; kneeling, stooping and bending; and safely lifting and carrying items weighing up to 40 pounds. Work involves extensive telephone usage and repetitive hand/wrist/finger motions while using the computer.
